Choose where replies to your automated Outlook emails go. Set Reply To on the Send Via Outlook action, and when a recipient selects Reply, their email opens addressed to the person or inbox you chose instead of the sender.

Note: Reply To is available only on the Send Via Outlook action, which sends through a Microsoft Outlook account connected as an Integration. It's optional: leave it empty and replies go to the sender. The Send Via Outlook action is available on the Standard plan.

How to Set Up Reply-To in Outlook Email Actions

1. Open the Outlook Email Action

In your automation, select + Add Action and choose Send Outlook, or open an existing step. The step is titled Send Via Outlook. Choose your Outlook Integration.

2. Set Reply To

In the Reply To field, choose one of these:

  • Workspace user: pick a teammate who should always get the replies
  • Email field: map an email field from the automation, so the address can change on each run
  • Email address: type an address yourself, such as a shared support inbox

3. Save the Automation

Save your changes. From now on, replies to this email go to the Reply To address.

Choose How Replies Are Routed

  • One owner: use a workspace user when the same person handles every reply.
  • Per record: map an email field, such as the account manager's email, when the right person depends on the record.
  • Shared inbox: type a team address when several people work the replies together.
  • Empty: leave Reply To blank to keep replies going to the sender.

Things to Know

  • Outlook only: Reply To is on the Send Via Outlook step, which sends through a connected Microsoft Outlook Integration.
  • Optional: an empty Reply To keeps replies going to the sender.
  • Per run: a mapped email field is read on each run, so each email can route to a different person.

Use Case

  • Business use case: A support team sends ticket updates from a shared Outlook mailbox and maps Reply To to the assigned agent's email field, so each customer reply reaches the agent who owns the ticket.
  • Simple use case: You send weekly project updates through Send Via Outlook and set Reply To to yourself, so answers come straight back to you.

💡 Tip: Map an email field when ownership changes from record to record. Replies then follow whoever owns the work on each run.
