Fields are properties of a List’s Records, the Name of a Product or the Phone-Number of a Contact, or the Date of an Appointment.

Fields are properties of a List’s Records, the Name of a Product or the Phone-Number of a Contact, or the Date of an Appointment.

You can add, remove or edit the fields on a list by clicking on 'Field' menu. The first 4 fields you see there are the System Fields; Creator, Creation Date, Last Modifier, Last Modified Date. These are hidden by default, If you think they would be useful in your use case, make them visible by clicking on the switch button.

The rest of them are the custom fields in your list. You can make the fields visible or hidden for the current view, add a new field from the end of the list, edit or delete fields by clicking on 3 dots next to them.



You can add a new field either from the 'Field' menu or directly from the table if you are on a table view.



Workiom supports many Field Types, like Text, Numbers, Dates, File Attachments, and much more! But don’t worry, you can learn more about them later. Workiom supports the following Field Types:



Text:

The Text Field is the most basic and versatile of Field Types. It can accept any text input.

Usage Examples:Contact Name, Contact, Job Title, Delivery, Address, Product Description
Special Options:

Multi-Line: This options turns one-line Text Field inputs into fields that accept multiple-lines. This option is ideal for uses like taking notes or writing a detailed product description.



Number:

The Number Field is a simple field that accepts any number with a maximum limit of 12 digits. It has powerful support for summaries.

Usage Examples:Product Price,Event’s Number, Number of Attendants, Employee’s Number, Number of Vacation Days
Special Options: This field has not special options.



Date:

The Date Field is a simple field that accepts a valid Date. It also has optional support for accepting time.

Usage Examples:Project Deadline, Appointment Time, Event Date
Special Options:

Add Time, this option enables time support for the date field. This allows you to enter Date-Time values instead of Date only, and it causes a clock to show in date pickers to help you select the time.



Boolean:

This is a simple field that has two possible values only; True or False.

Usage Examples: Archived?, Student Passed?, Issue Resolved? Paid?
Special Options: This field has not special options.



User:

This field allows you to select a user that belongs to your workspace.

Usage Examples: Task Assigned to, Project Manager, Customer Contact Point
Special Options: This field has not special options.



Website Link:

This is a field that accepts a link to a website. The link must begin with http:// or https://.

Usage Examples: Contact’s Linkedin, Account, Article link, Link to Source, Link to Customer’s Profile in an External CRM
Special Options: This field has not special options.



Email:

This a field that accepts a valid Email address. The email must contain a ‘@’ character and end with a top level domain (e.g. “.com”)

Usage Examples: Customer Email, Contact Email, Company Support Email
Special Options: This field has not special options.



Static List:

This field accepts one of a list of values that you specify when creating the field.

Usage Examples: Task Status (To-do, In-Progress, Done), Order Stage (New, Preparing, Shipping, Closed), Business Deal Status (Prospective, Negotiation, Won, Lost)
Special Options:

List Items, here you add the possible values that the Static List field can accept.



Linked List:

This field allows you to connect a record to another record in another list. This can be very helpful in finding related information and eliminating data duplication.

Usage Examples: Linking an Order to its requested Products, Linking a Contact with the Company they work for, Linking a Bill to the Customer who should pay it
Special Options:

Allow Multiple: This option specifies whether to allow linking to multiple records a the same time.

Linked List: This option specifies the list to which you want to link you records. An Orders list would be linked with a Customers list for example.

Link With an External App: This option allows linking with lists from other apps available in your workspace.

Linked App: If the “Link With an External App” option is checked, then this option will appear to allow you to select the app that contains the list you want to link to.



File:

The File field allows you to attach pictures, documents, and files of any kind to each record. This field can also display a preview thumbnail picture of your choosing if you activate the “Main Picture” option.

You can copy a file from your computer and paste it into Workiom as shown below.

Usage Examples: Product Pictures, Legal Case Documents, Branding Design Resources
Special Options: This field has not special options.



Rollup:

The Rollup field allows you to do summary operations on a number field in records linked to the current record. Supported operating can Sum, Average, Min, Max

Usage Examples: Total Payments received from a Customer, Total Customer Debts calculated from their individual Order prices, Average Marks for a Student’s Homework Assignments.
Special Options:

Linked List to Rollup: This option sets the linked list from which to select a Rollup Field.

Rollup Field: This option determines the Number field in the remote list on which the Rollup operation will be executed.

Summary Type: This option determines the Summary operation performed on the number field across all the records linked to the current record. Currently the Rollup field supports the following Summary types:

Sum: Return’s the sum of the field’s values among all records.
Average:  Return’s the average of the field’s values among all records.
Min: Return’s the smallest value of this field among all the records.
Max: Return’s the largest value of this field among all the records.
Count: Return’s the number of the records that contain a value in this field.



Phone Number:

The Phone Number field is used to store phone numbers. It supports easy click-to-call using your phone’s default phone application.

Usage Examples: Customer’s Phone Number



Count:

This field counts the records linked to the current record from a particular Linked List.

Usage Examples: Number of Students in current Class, Number of Orders by a this Customer, Number of Tasks for the current Sprint
Special Options:

Linked List, this option sets the linked list whose linked records will be counted.



Currency:

This field is for adding monetary numbers. It supports 4 different currencies for now; $, €, £, ₺

Usage Examples: Price of a product, Project budget, Costs
Special Options:

Symbol : Choosing the currency symbol or add it as a text as shown below.
Precision : Choosing the precision of the currency (1.00, 1.000...)



Auto number Fields:

You can use this fields if you want to generate unique auto number for each record.



Checklists

Add a checklist for each record. It can be the subtasks, equipments list..



Formula
Any field of the types (Text, Number, DateTime and Boolean) can be calculated using an expression. For example, a field called Total is the price + the VAT.



Field Lookup:
You can get additional information from a linked list record using lookup fields. Note that you should not enable Allow Multiple option for related linked list field.
